Your Role

The role of the Studio Manager serves as the linchpin of organisational efficiency within Scooter. With a multifaceted role, they orchestrate the seamless flow of projects from conception to completion, ensuring that deadlines are met, and resources are optimally utilised. Acting as the central point of contact, they liaise between various internal departments, including Creative Teams, Account Service, and Finance, fostering clear and effective communication channels. Through meticulous workflow management, they prioritise tasks, allocate resources, aid in the creation of project schedules, maintaining a steady progression of projects while adeptly navigating any hurdles that may arise.

With a keen eye for detail, the Studio Manager upholds the agency’s standards of quality and brand consistency, while also keeping a vigilant eye on project budgets and expenses. By leveraging their expertise in project management tools and software, they streamline processes and enhance collaboration, ultimately facilitating the delivery of exceptional creative work that exceeds client expectations. In essence, the Studio Manager plays a pivotal role in driving operational excellence and ensuring the agency’s continued success in the dynamic realm of branding, advertising, and marketing.


Summary of duties include, but are not limited to, the below:

Studio Management

  • Review all briefs provided by the Account Service team, ensuring clarity and comprehensiveness.
    • Enforce accountability among account managers and creative team members for gathering project brief specifics.
  • Assist the client service team in scoping and developing project plans when necessary.
  • Coordinate with the Accounts team to plan and schedule internal project check-ins, ensuring alignment with project milestones
    and creative team progress.
  • Collaborate with Creative Directors to appropriately assign project teams and coordinate scheduling of creative briefing
    and check-in sessions.
  • Manage relationships with external partners to oversee both print and digital production requirements.
  • Conduct weekly resourcing meetings with the Account Service team, scheduling studio activities in advance.
  • Organise and prioritise projects to ensure efficient resource allocation and timely delivery.
  • Assign tasks to creative teams based on skills, availability, and project requirements.
  • Create and maintain production schedules to track project timelines and milestones.
    • Beginning of the week utilisation: Billable 80%, Tentative ≥20%
  • Manage the flow of work through the creative studio, ensuring smooth progression from one stage to the next.
  • Adeptly manage timesheets with precision, documenting flow structures, tasks, and project milestones promptly and accurately.
  • Proactively identify and resolve potential bottlenecks or resource constraints to maintain project momentum.
  • Oversee the use of project management software, collaboration tools, and other resources to streamline workflows
    and improve efficiency.
  • Provide support to the Creative Team in managing their workload, promptly addressing scheduling delays or available capacity
    with the Account Service team.
  • Communicate project status updates and changes, adjusting schedules as necessary to accommodate evolving priorities.
  • Facilitate the onboarding process for new staff by explaining studio and server procedures.
  • Identify and coordinate training opportunities for the professional development of the design team, supporting Creative Directors in developing a clear and cohesive roadmap and addressing any skill gaps.
  • Oversee office and facilities management tasks, encompassing coordination with cleaning personnel and building management.
    • Responsible for ordering office supplies and staff amenities, while ensuring the cleanliness and maintenance of the office environment at all times.

Quality Control

  • Ensuring all work meets the agency’s standards of quality, brand guidelines, and client expectations.
  • Utilise a profound comprehension of client brand guidelines and product specifications, demonstrating the capability
    to thoroughly evaluate project requirements in collaboration with Account Service and Creative Directors to ensure
    alignment with client expectations and standards.


  • Monitor the weekly time sheets of the Creative Team, collaborating with the team to maintain accuracy and timeliness, minimising any downtime.
  • Support the Financial Controller with various financial aspects of the agency, including tracking, entering, and reconciling supplier purchases, identifying, and addressing unnecessary expenditures, and client invoice distribution.
  • Collaborate with the CEO and Financial Controller to analyse studio utilisation data, identifying opportunities for improvement, and implementing strategies to enhance financial performance.
  • Assist Creative Director in the monitoring of project budgets and expenses related to production and studio resourcing.
  • Maintain freelance register, in line with studio resourcing requirements.

The above studio management, quality control and financial responsibilities are to be used as minimum requirements; however, other tasks may be assigned at the discretion of the company.

Qualifications, Skills, and Experience required for the role
  • Certifications in project management, studio management, or related areas are beneficial.
  • Excellent organisational and management capabilities.
  • Attention to detail and a focus on quality control to ensure deliverables meet client expectations and agency standards.
  • Strong communication skills, both verbal and written, to facilitate effective collaboration and communication.
  • Proficiency in project management software and tools, such as Trello and Float to streamline workflows
    and enhance efficiency.
  • Financial acumen to manage project budgets, track expenses, and identify cost-saving opportunities.
  • Problem-solving skills to identify and resolve issues that may arise during project execution.
  • Capable of listening and collaborating effectively, providing valuable input and direction.
  • Capable of leading and motivating colleagues to excel, demonstrating empathy, anticipating needs, and
    addressing them effectively.
  • Must possess self-motivation and proactive initiative.
  • Adaptability and flexibility to respond to changing client needs and project requirements.
  • Prior experience in a similar role within a brand/advertising agency or creative studio environment.
  • Demonstrated experience in project management, including coordinating teams, managing budgets, and delivering projects on time and within scope.
  • Familiarity with the creative process and an understanding of design principles and techniques.
  • Experience working with clients and external partners to deliver creative projects that meet business objectives.
  • Experience in office and facilities management.
